Administrative Assistant

Currently, I am employed at Riggs Distler & Co. in Cinnaminson, NJ. I am an administrative assistant in the mechanical/piping division (previously Shelby Mechanical). I am responsible for timesheets, cost reports, labor allocation, and force reports. These reports are crucial to Riggs’ accounting department, and I work closely with them to make sure we track costs and turn a profit.

While on site, I fulfill the duties of Timekeeper and field accountant. I am responsible for the same reports, as well as tracking purchase orders, RFIs, submittals, and allocation exceptions. I serve as an important link between Riggs Distler and their clients; making sure the client pays Riggs, and Riggs pays our men.

Many refineries rely on a database called Tracks to log men’s hours. The database relies on gatelog In and Out scans to calculate the amount of hours worked. Every morning, I receive a gatelog, and begin the process of force reporting. I pull data from the data base via excel to report who is on site, how many of each craft is present, which foreman is assigned which men, and what jobs they’re working.

I also receive a Daily Activity Report from the database, and once the force report is finished, I begin the process of timekeeping. I check the activity report for discrepancies between Ins and Outs, and the amount of hours Tracks is logging. Differences occur quite often, and are called exceptions. In order to get paid for this time outside of Tracks, I have to draft an exception, get it approved, and make the adjustments to the data. Once our timesheets match the database and vice versa, I begin the process of allocation. I rely heavily on javascript programs I created to help this process go smoothly.
