Question #1: Internship Discussion

I hope everyone is off to a good start at your internships.  Please feel free to respond to one another student here if you have questions or comments.

The first question is easy: Where will you be working/worked?  What will you be doing/did?

Please post a comment to this post and share with everyone what some of your responsibilities will be/were.  Others may have questions or may be doing the same types of things.

    Hey good afternoon class, hope everyone was able to relax during their winter break. Time flew by but it was still better than not having it.

    My where I worked and my role that my posts and assignments will be centered around is at Universal Creighton Charter School, around 25 minutes from Main Campus, as Technology Coordinator. I was responsible for all technology/electronics for the entire school. Some examples of what I was doing was maintaining/upgrading in-class devices and monitoring systems, interfacing with vendors to communicate stakeholder’s needs and ensuring deliverables were met, building data automation pipelines, scripting repetitive tasks, and conducting risk assessments on IT infrastructure, both hardware and software.

    Though I’ve done and have been exposed to many different platforms, systems, programming languages, etc. I consider myself an IT generalist or a dabbler, with no in-depth knowledge on many of these topics. If you have more in-depth experience with any IT tool, system, whatever, I’d love to share stories and experiences that could perhaps benefit us all.

    Hi everyone! I am currently working at the Children’s Hospital of Philadelphia as a remote PMO facilities intern.

    My main responsibilities include:
    •Assisting in the testing and evaluation of new facility equipment and technology (e.g., Moxi Delivery Robot)
    •Facilitating monthly walk-throughs and demonstrations with cross-functional departments (e.g., Clinical, Pharmacy, Behavioral Health)
    •Creating surveys and facilitating meetings to collect everyone’s feedback after the walk-throughs.
    •Managing all the survey data—compiling it, analyzing it, and summarizing the results
    •Preparing summary reports and presentations to report back to leaders

    I’m excited to learn more about project management and instructional design. If anyone else is working in a similar field or has experience with PM or ID, I’d love to connect!

    Greetings! I’m currently working as an Office Associate (intern) at ePro Associates in Chinatown.
    My responsibilities include general office operations, marketing support, IT help, and website maintenance. Lately, I’ve started managing the company’s Zoho CRM and Desk, which has allowed me to learn more about customer data management and improving workflows.
    So far, I’ve worked on projects like redesigning the company website, creating internal tools to combine images into PDFs, and helping with various tasks related to health insurance brokerage. I’m also about to start a project to automate document signature requests and integrate them with Zoho CRM, which should cut down the time spent on manual requests.
    I’m looking forward to learning more about CRM management, web design, and process optimization. Any advice or experiences you could share in these areas would be greatly appreciated.

      Hey Yuxuan, congrats on the internship and branching into IT management in your role, it means that you’ve showed competency with your current workload and could be trusted to do more. The project you mentioned related to automating document signature requests is really interesting to me, and is something that caught my interest because I’ve recently realized the power of automation for solo entrepreneurs or small teams looking to do something big. I’ve recently developed a couple “apps” using Google Apps Script to automate generating a quote from entries in a Google Sheet, as well as a project proposal. I never thought about the possibility of doing that in Zoho. What process or processes are you going through to accomplish that?

        Hi Zakariya, thank you!

        Currently, the signature request process is fairly manual. We use DocHub to upload the document, complete the required fields, and send the signature request via email to the client. Once the client responds, we then open Zoho CRM, locate the correct record, and manually attach the signed document. This process can take roughly 10 minutes per document, which adds up quickly when working with hundreds of clients.

        In my MIS 3502 course, I learned about building and working with web APIs using AWS Lambda and Internet Gateway. Building on that, I plan to create an internal web app that streamlines the entire document request process. The app would use Supabase, a BaaS, and integrate it with Zoho CRM via their APIs.

        At a high level, the workflow would look like this:

        1. An agent selects a client, document type, and communication method (SMS or email)
        2. The request is sent automatically to the client’s SMS or email
        3. The client opens a secure, one-time link
        4. The client previews, signs, and submits the document
        5. An Edge Function handles the attachment of the document to Zoho CRM

        This would reduce manual steps and open up time for other tasks.
